What Haul Tracker records, and why

Last updated October 23, 2026.

Who this covers

Haul Tracker is used by hauling companies and the truck drivers who work for them. A driver gets the app through a setup link from their dispatcher; there is no public sign-up in the app. This page describes what the driver app records, and under The office what the Dispatch app and the office website record. The dispatch company that set you up is the one that sees it.

What we record

  • Who you are. Your name, phone number, email address, company name, truck and trailer numbers, and equipment type. Dispatch enters most of this when they add you; you can correct it in Settings.
  • Every press you make. Clock in, load, unload, downtime, and clock out, each with the time and the place the phone reported, how accurate that reading was, and whether location was turned off or faked. This is the record your hours and loads are paid from.
  • Where the truck goes on a job you accepted. On an iPhone, from the job's start time until you clock out, the app sends the phone's location every so often, including with the phone in your pocket if you allowed location “Always”; if nobody clocks in, it stops 12 hours after the start. On Android, it records from the moment you press CLOCK IN until CLOCK OUT, with a notification that says “On the job” showing the whole time, and it needs location only while using the app. Nothing is recorded on a day with no job, before the job's start time, or after you clock out.
  • Scale tickets, if your dispatcher runs a job in scale mode and you photograph a ticket: the ticket number and the tons, read off the photo by an AI model, and what you corrected them to. The photo itself is read and then discarded; it is not kept.

Why

So your hours and loads are verified without a paper worksheet. Dispatch uses the record to settle your pay and to bill their customer. The location trail exists so a disputed day can be checked against where the truck actually was.

Who sees it

The dispatch company that set you up, and you. Nothing is sold, shared with advertisers, or used to track you across other apps or websites. The services that run the apps process data on our behalf and for nothing else: hosting (Railway), email delivery (Resend), notifications (Apple's, and Google's Firebase on Android phones, both through Expo), crash reports (Sentry), and the AI model that reads scale tickets and writes a day's summary (Anthropic's Claude, through OpenRouter).

How long it stays

Press records are kept as long as your dispatch company keeps its pay records. The location trail between presses is kept for 90 days, then deleted. Your profile stays while you are set up with a company; ask your dispatcher to remove you and it is closed.

Your choices

  • Location permission is the phone's: you can change it in your phone's Settings at any time. With location off, presses still record, but they record without a place and your dispatcher will see that.
  • You can sign out of the app at any time in Settings.
  • You can delete your account, in the app or by email: Deleting your account.
  • To see or correct what is recorded about you, ask your dispatcher, or email us at the address below and we will work with them.

The office

The Dispatch app and the office website record the office person's name, email address and phone number, and what the office enters: jobs, customers, places, rates, messages to truckers, and changes to a day. The company and the people it adds see it. “How the day went” on a report is written by an AI model from that day's figures, only when someone presses it.

Deleting your account

  • In the Haul Tracker app: Settings, Danger zone, Delete account.
  • In the Dispatch app: Settings, Account, Delete account.
  • Without the app: email support@haul-tracker.com from the email address on your account, or with the phone number you sign in with, and ask us to delete it. We delete it and write back when it is done.

What goes: your login, your password, your notification registration, and every signed-in phone. What stays: the days you ran or changed, with your name on them, because they are your company's pay record and its customers' bills. The location trail between presses is still deleted after 90 days.
